The MxB advisory group used to work with several disconnected systems. Accounting was done in Pohoda, records were kept in Excel, communication ran through Outlook, data mailboxes were handled separately, and additional agendas operated in a custom-built CRM.
Today, everything is under one roof in Business Central and Power Apps. The result? Fewer errors, less manual work, better oversight, and a calmer workday.

MxB wanted to run its business in a modern Microsoft environment. They were looking for a connected system that could handle thousands of clients, unify reporting across companies, and support legal, accounting, tax, and IT services. They moved from Pohoda, internal system, and Excel to Microsoft Dynamics 365 Business Central and Power Apps.
We helped them implement a solution that now connects client data, timesheets, invoicing, and communication. Everything runs in a single system, giving the team space to focus on clients instead of spreadsheets.
Built on Microsoft Dynamics 365 Power Apps and Business Central
They keep records not only of their customers and suppliers but also of specific contacts, including complete communication history. They track emails, meetings, calls, and tasks. Integration with Microsoft Outlook ensures that all communication is automatically linked to the correct client and contact.
For internal collaboration, they use Microsoft Teams, allowing for quick messaging without the need for internal emails.
They can open any number of projects for each client. For every project, they define the services the client has ordered. Employees then log time against these services, which is used as the basis for client invoicing.
Projects are created in Power Apps and automatically synced with Business Central.
They can register one or more data mailboxes for each client directly in Power Apps. Incoming messages automatically notify the client record owner or designated team members. The system can also create tasks for processing incoming communication.
They set specific pricing for each project – either per service or per resource. This allows the system to apply the correct pricing rules automatically based on client agreements.
Employees enter their timesheets directly in Power Apps. These are sent to Business Central for approval by the project manager. Once approved, the system automatically posts both the time and the related costs to the project, based on each resource’s calculated internal cost rate.
Based on time entries or fixed-fee agreements, Business Central can generate invoices automatically. They can invoice:
per project
across multiple projects
by combining time-based and fixed-fee billing
They can set billing frequency – monthly, quarterly, or yearly. The system automatically generates all related accounting entries, including tax, cost, customer, and project records.
Once posted, invoices are automatically sent to clients using pre-configured delivery preferences. They can choose whether to print the invoice, send it as a PDF by email, or use an electronic format such as EDI.
